Review workflows
Edit stages, transitions, approvals, and publishable states in existing workflows.
Review workflows add optional publication gates. Comments remain available when gates are disabled.
Edit an existing workflow
- Open Settings → Workflows and choose an existing workflow card.
- Enable or disable its publish gates, or select Edit.
- Change the workflow name, stage names, required approval counts, publishable stages, and allowed next stages.
- Select Save changes and test the transitions on non-production content.
The screen displays each workflow’s existing Backend or type scope, but it does not create workflows or let you choose that scope. Empty workspaces must be provisioned through Backend creation or migrations rather than this screen.
Access
Editing workflows requires backend.read and collaboration.configure with matching scope. Reading review state elsewhere uses collaboration.read. An audited bypass uses collaboration.override; grant it only to people authorized to bypass review gates.
Approval behavior
Delivery-affecting edits reset approvals. Comments, assignments, and schedule metadata do not. The person who most recently made a delivery-affecting change cannot satisfy their own required approval.
Disabling gates permits publishing when other validation passes. Rollback is not review-gated.
